This is a practical checklist for freelancers and small service businesses that need to create Japanese quote or invoice PDFs from a browser.

1. Decide what the document is

Use a quote when you are proposing work before acceptance. Use an invoice when you are requesting payment after the work or billing period is confirmed.

Keep the document title obvious: Quote, Estimate, Invoice, or Japanese equivalents such as 見積書 and 請求書.

2. Add seller and buyer details

Before exporting a PDF, check:

  • Seller name or business name
  • Buyer name or company name
  • Issue date
  • Quote expiry date or payment due date
  • Document number
  • Contact details if needed
  • Bank or payment instructions if needed

3. Check line items

For each line item, confirm:

  • Item or service description
  • Quantity
  • Unit price
  • Tax rate
  • Subtotal

Keep descriptions specific enough that both sides can recognize the work later.

4. Check Japanese consumption tax fields

If Japanese consumption tax matters for your transaction, confirm the tax rate and tax-rate subtotals before exporting the PDF. The National Tax Agency publishes English information about consumption tax, including the standard and reduced rates.

For qualified invoice matters, check the National Tax Agency’s invoice system guidance and your own tax position. This checklist is not tax advice.

5. Save a PDF and a data copy

After checking the invoice preview:

  • Save or print the document as PDF from the browser
  • Export the input data as JSON if your tool supports it
  • Store the PDF and JSON together by client, month, or project

This makes repeat billing faster and makes it easier to correct a document later.
